JOB SUMMARY:

The Production Coordinator is responsible for supporting the production department deliver the highest quality product within sampling & production deadlines by proactively planning, coordinating, and managing external sources while identifying and addressing issues that may impact delivery or cost.

GENERAL DUTIES & RESPONSIBILITIES:

  • Receives and reviews receipts from our Third-Party Logistics (3PL) Partner for accuracy & ensure that they post correctly to our Enterprise Resource Planning (ERP) system, NetSuite, within 24 hours of receipt of email. 
  • Investigates inaccuracies with the warehouse and/or factories.
  • Update POs/WIPs as needed when ex-fty, receive by dates, or other updates are needed.
  • Updates internal and factory Work-In-Progress (WIP) reports to reflect PO(s) being received in, including specific information on quantities received and date of receipt.
  • Send out WIPs weekly to factories and internal parties.
  • Sends out initial Salesman Samples (SMS) spreadsheets to factories to get confirmed ex-factory dates and SMS costing.
  • Cuts SMS POs once ex-factory & costing is confirmed and SOs are in system.
  • Adds POs to SMS WIPs.
  • Tracks all POs until final delivery. Marks POs as shipped in NetSuite and update all WIPs.
  • Manages hangtag inventory and order necessary quantities for all buys (monthly) through our Trim Providers (Opsec, Brand Comply, and J Patton).
  • Manages the hangtag WIP to ensure tracking/shipping details are provided to factories and that orders are shipped from suppliers on time.
  • Maintains and updates, when necessary, the logistics hangtag spreadsheet so that accurate duty is calculated.
  • Approve/reject bookings from the logistics team.
  • Reviews PO's Due Within 5 Days of X-Factory Date, POs with IF in picked status report and POs pending approval on a weekly basis.
  • Submits any requests for costing, factory, COO updates to Master Data Team via Monday.com.
  • Submits FOB approvals to PLMs when factories send confirmed costing.
  • Manages POD tracker and attaches PODs (proof of deliveries) to POs in NetSuite once tracking shows that PO has been delivered and updates the POD tracker.
  • Reviews POs Due in 7 days Not Synced with RAMP.
  • Sends Seasonal Open PO Report to Global Trims monthly so that they can project materials to order.
  • Reviews POs (costing, ex-fty, quantities) against monthly buys for accuracy. Once approved, send it to each factory.
  • Adds POs to WIPs and create new WIPs as needed.
  • Maintain Trello boards to guarantee the flow chart of each buy’s progress is accurate.
  • Uploads the buy with PO #s included to drop box so that demand planning has access to them.
  • Once all final shipping documents are received for drop-ship POs for cut & sew apparel and headwear, marks POs as shipped in NetSuite. This process includes:
  • Checks P/L (packing list) for accuracy.
  • Send UPC info to factories for buys placed.
  • Ensure all shipping documents are attached to the PO in NetSuite.
    • Marks the Item fulfillment (IF) as shipped, adding details about shipment to item fulfillment.
    • Updates appropriate WIP to show that the POs were shipped.
    • Adds tracking details to POD tracker if PO was shipped via courier.
  • Assists Accounting Department to resolve any issues/questions related to apparel POs.
  • Assists with the daily tasks of other team members, as needed. 

EDUCATIONAL REQUIREMENTS:

  • BA in Business or equivalent experience.
  • 2 (+) years of experience in Production/Sourcing and/or Supply chain rolls.

Knowledge Skills and ABILITIES:

  • Strong computer skills, including Microsoft Office & ERP Systems.
  • Extreme attention to detail.
  • Excellent communication skills.
  • Must be able to work in a fast-paced environment, able to prioritize and be deadline oriented.
  • Able to work closely with cross functional teams.

LEVELS:

Analyst 

List changes in scope as employees grow within the job family. i.e.

Intermediate Support role. Basic skills with moderate level of proficiency. Acquires job skills and learns company policies and procedures to complete routine tasks. Has little or no role in decision making. Work under close to moderate supervision with limited latitude for independent judgment.

WORKING CONDITIONS:

Position is hybrid (3 days in office/2 days home).

PHYSICAL CONDITIONS:

This position occasionally requires handling (shipping/receiving) of hangtags, where cartons could weigh 50 lbs or less.
